Introduction

When working in an organization, people can face different barriers regarding the effective communications. Ineffective communication is a cause of misunderstanding in an organization, and it can lead towards different conflicts. I have experienced an ineffective communication in the company. This experience helped me to learn different things and enhance the visibility of the effective communication process. Several barriers are to be identified early, and through the use of technology and modern trends, the main intention should be towards the effective communication.

Summarize the situation and the outcome.

I was working in the marketing department, and I had to coordinate with the production department to maintain order and change in the quality according to the expectations of customers and demands. The problem occurred when I ignored the main communication channels and used another source to direct the production. Unfortunately, the production department sustained the production process and came up with the outputs, which were inappropriate and beyond the demands.

I was trying to call the project manager. The main communicating channel of the company was e-mail. It was the main cause of ineffective communication experiences. On Phone call, did not describe needs and orders, and it causes a big misunderstanding.

Explain how communication should transpire using the communication processes

The main aspects of an effective communication process are the sender, encoding, channel, decoding, and receiver. Communication should transpire through pertinent sending and encoding along with gestures and codes. When working in the company, it seems a good to use right message through the right communication channel to have a feedback. It is also important to use the formal channel, identified by the company. Through email, a formal channel, I can enable effective decoding and receive as well.

Indicate barriers to effective communication

The difference in perceptions is a big barrier to the communication. People perceive different messages in different manners according to their thinking style, and it seems tough for the sender to justify the purpose. Also, sometimes the receiver intends to contain the premature evaluation. It seems relevant to my situation, and due to the informal channel, the production manager a misunderstood the message. Another barrier, which is pertinent to this situation, is lack of attention from both sides. I was not intending to use the formal channel, and on the other hand, the production manager did not intend to know details.

Analyze techniques that would be most appropriate for minimizing potential future issues and situations.

For minimizing the potential issues in the future, the first technique is to classify the formal channels and clear ideas to augment the visibility of understanding. In an organization, to carry the complex business operations, it is imperative to be attentive and patient to be a good listener. Some organizational facilities such as meetings and complaint boxes are good options to reduce these barriers in the future.

Compare how communication has evolved with changes in technology.

The communication process has evolved due to the changes in the technology in many companies. Traditionally, the management of the company communicated manually. However, comparatively, the technology is a big cause of communication accuracy, rapidness, and urgency. Traditionally, the communication process took much time for encoding and decoding. Now, the communication saves the time of the company due to modern equipment, and it is a big involvement.

Explain how technology can be used to enhance communication both within and outside of the organization

The importance of technology cannot be ignored. Through technology, the company management can have an integrated system to communicate with all key stakeholders. On the other hand, the external key stakeholders can also be integrated with technology. For Instance, the use of mobile, internet, e-mails and different satellite links are some examples of dealing with international clients.

In the end, it is to conclude that the effective communication process in the company is the key to success. To avoid the ineffective communication, the management of the company must have to make an effective communication policy. Use of technology to make communication better is a good approach, and it has been applied in many organizations. My ineffective communication experience was a learning process for me. In the future, I am determined to improve the communication process.
